Overview

Job Summary: The Shipping Coordinator is responsible for managing outbound shipments, including booking freight, preparing shipping documentation, and coordinating with internal teams and external carriers. This role ensures timely, cost-effective, and accurate shipment of products to customers and other facilities while maintaining compliance with company and regulatory requirements.

Responsibilities

  • Book freight shipments with appropriate carriers for LTL, truckload, and small parcel
  • Prepare accurate Bills of Lading (BOLs), packing slips, shipping labels, and related documentation
  • Coordinate and schedule outbound shipments based on production timelines and customer needs
  • Communicate proactively with carriers, internal departments, and customers regarding shipment status and delays
  • Verify shipment details such as dimensions, weights, and product counts
  • Maintain accurate shipping records in internal systems and databases
  • Track shipments and confirm successful delivery
  • Assist with freight claims, damaged goods, or shipment discrepancies
  • Ensure shipping area is clean, organized, and compliant with safety standards
  • Support warehouse operations as needed in preparing goods for shipment

Qualifications

Education & Experience:

  • High school diploma or equivalent required
  • Minimum 1 year of experience in shipping, logistics, or warehouse coordination
  • Experience booking freight and preparing Bills of Lading (BOLs)
  • Familiarity with shipping platforms (e.g., FedEx, UPS, LTL portals) and ERP systems preferred

 

Skills & Competencies:

  • Strong organizational and time management skills
  • Detail-oriented with a high level of accuracy in data entry and documentation
  • Proficient in Microsoft Office, especially Excel and Outlook
  • Effective communication and interpersonal skills
  • Ability to problem-solve and prioritize in a fast-paced environment
  • Customer service mindset and proactive approach to resolving issues

 

Physical & Mental Demands:

  • Ability to lift up to 50 pounds
  • Ability to stand, walk, bend, and move throughout the warehouse for extended periods
  • Comfortable working in a warehouse environment with exposure to varying temperatures
  • Must be able to manage multiple tasks simultaneously and meet deadlines under pressure
