Job Summary: The Operations Administrative Assistant will play a key role in supporting daily operations, ensuring efficiency, organization, and seamless coordination across multiple areas. Responsibilities

  • Management of all calls and voicemails routed through San Antonio office adhering to defined scripts ensuring timely response and accurate routing.
  • Greet all visitors throughout the workday.
  • Employee Attendance reporting.
  • Facilitate customer and leadership visits, including meeting coordination, room setup, and catering arrangements.
  • Facilities management tasks, including maintaining records of purchase orders and vendor transactions.
  • Track visitor and assign badges ensuring proper security procedures are followed.
  • Assistance with location specific employee engagement events and activities.
  • Monitor and ensure gates and doors remain properly secured throughout the day.
  • Managing onsite supply orders and inventory.
  • Manage receipt and distribution of mail and packages.
  • Maintain and organize manufacturing records.
  • Prepare manufacturing reports as requested.

Qualifications

Skills

  • Above average proficiency with Microsoft Office Suite or related software
  • Excellent verbal and written communication skills
  • High motivation and desire to learn and master responsibilities
  • Excellent interpersonal and customer service skill
  • Excellent organizational skills and attention to detail
  • Time management skills with a proven ability to meet multiple deadline
  • Knowledge of office management systems and procedure
  • Ability to handle confidential information with discretion.

Education, experience, certifications

  • High school diploma or GED required; associate degree in business preferred.
  • Two years of administrative assistant experience preferred.
